Job Role: Virtual Assistant

Work Schedule: 9 AM - 5 PM AEST, Monday-Friday

Compensation range: $1,500 AUD - $2,000 AUD / Monthly

Who The Client Is: We operate within the healthcare and biomedical services industry, providing specialised technical support, compliance solutions, and medical equipment services to healthcare providers across a wide range of clinical environments. Our focus is on helping healthcare organisations maintain safe, efficient, and compliant operations through reliable service and industry expertise.

Role Overview: We are looking for a highly organised and proactive Virtual Assistant to support the day-to-day operations of a growing service-based business. This role is focused on administration, invoicing, scheduling support, customer communication, and accounts coordination.

The ideal candidate is detail-oriented, responsive, confident in communicating with customers and technicians, and comfortable working across systems such as Simpro and Xero.

Key Responsibilities: 

Operations & Administration

  • Daily reporting of all technician jobs completed in Simpro
  • Daily invoicing of completed technician jobs through Simpro
  • Monitor and manage the general enquiries inbox, responding or triaging as required
  • Provide general administrative support across the business
  • Assist with booking and scheduling jobs into technician calendars when required
  • Communicate with customers and technicians via phone and email regarding bookings and updates
  • Initiate troubleshooting procedures for equipment breakdowns and gather all required information before escalation
  • Ensure urgent breakdown enquiries receive prompt responses and appropriate documentation
  • Accounts & Finance Support
  • Mark off paid invoices in Simpro daily
  • Follow up outstanding invoices via phone and email
  • Assist with accounts administration and maintaining accurate records

Required Skills and Qualifications:

  • Previous experience in a Virtual Assistant, Admin, Operations, or Accounts Support role
  • Strong written and verbal English communication skills
  • Excellent organisational and time management skills
  • High attention to detail and ability to multitask
  • Confident handling phone and email communication
  • Ability to work independently and take initiative
  • Experience with Simpro preferred
  • Experience with Xero is highly desirable
  • Comfortable working in a fast-paced service environment
