- This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Scheduling Administrator based in South Africa. This is a fully remote coordination role focused on ensuring smooth and efficient scheduling operations across staff, clients, and internal teams working in a fast-paced service environment. In this position, you will play a key role in maintaining accurate schedules, managing changes in real time, and ensuring operational continuity across multiple stakeholders. You will act as a central point of coordination, helping to resolve scheduling conflicts, streamline communication, and support day-to-day administrative workflows. The role requires strong attention to detail, excellent organizational skills, and the ability to manage competing priorities effectively. You will work in a structured yet dynamic environment aligned with U.S. working hours, contributing directly to service efficiency and client satisfaction. - Accountabilities Coordinate and maintain accurate staff and client schedules, ensuring optimal alignment of availability and operational needs. Manage scheduling changes, cancellations, and rescheduling requests in a timely and organized manner. Communicate effectively with clients, staff, and internal teams to ensure clarity and consistency in all scheduling updates. Maintain and update scheduling systems, databases, and administrative records with a high level of accuracy. Monitor schedule coverage and proactively identify and resolve conflicts, gaps, or overlaps. Provide general administrative support to ensure smooth daily operations across scheduling functions. Ensure adherence to scheduling processes and support continuous improvement of coordination workflows. Assist in maintaining service efficiency by supporting operational tasks as needed. Requirements Previous experience in scheduling, administrative support, coordination, or a similar operational role. Strong organizational and time management skills with the ability to manage multiple priorities effectively. Excellent written and verbal communication skills with a customer-service mindset. High attention to detail and strong focus on accuracy in data and scheduling tasks. Proficiency in Microsoft Office and experience with scheduling software, CRMs, or similar systems. Ability to work independently, solve problems proactively, and adapt in a fast-paced environment. Strong multitasking abilities and resilience when handling shifting priorities and deadlines.
