Job Description

We're looking for a Project Coordinator to support the day-to-day coordination of commercial tiling and waterproofing projects from tender through to completion. This is a remote, Philippines-based role working directly with the business owner and site teams across active projects.

Key Responsibilities

  • Coordinate project timelines, track milestones, and flag delays or blockers across multiple active tiling jobs
  • Maintain and update project trackers, job files, cost sheets, and variation registers
  • Process supplier and subcontractor invoices, verify amounts, and flag discrepancies before payment approval
  • Draft and issue quotes, variation claims, and progress claims based on project specs and director input
  • Prepare tender submissions, prequalification documents, credit applications, and supplier account forms
  • Coordinate scheduling, material deliveries, and project updates with builders, site supervisors, suppliers, and tiling subcontractors
  • Track material orders (tiles, adhesives, grout, waterproofing) and follow up on lead times and delivery confirmations
  • Maintain defect and warranty registers and coordinate rectification scheduling
  • Assist with BOQ preparation and quantity takeoffs under direction
  • Handle ad hoc project administration to keep jobs moving on time and on budget

  • Minimum 2 years' experience in project coordination, project administration, or construction administration (commercial construction or trade experience strongly preferred)
  • Strong organisational skills with the ability to manage multiple jobs simultaneously
  • Proficient in Microsoft Office (Excel in particular), Google Workspace, and project management or job tracking tools
  • Experience with estimating software or takeoff tools
  • Comfortable communicating with Australian builders, suppliers, and site teams
  • High attention to detail, especially with invoices, quantities, and documentation
  • Reliable internet connection and a quiet, professional home office setup
