Role Overview:
The Sales Operations & Automation Associate will support the company’s sales and operational infrastructure by managing contracts, improving internal systems, building automations, and streamlining workflows across teams.
This role blends elements of sales operations,data analytics, legal coordination, process improvement, and AI implementation. We are specifically looking for someone with a paralegal or legal operations background who is comfortable reviewing agreements, identifying risks or inconsistencies, and helping build scalable systems using AI and automation tools.
You will work cross-functionally with sales, operations, leadership, and recruiting teams to ensure operational efficiency and process accuracy.

Core Responsibilities (with percentage allocations)
Sales Operations & CRM Discipline — 40%
- Own HubSpot hygiene end-to-end: clean up existing data, fill gaps, deduplicate records, enforce required fields, and maintain accurate pipeline stages
- Build and maintain weekly pipeline reports and ad hoc dashboards for leadership — deal velocity, stage conversion, revenue forecasting
- Track pipeline activity, operational metrics, and process compliance using your data analysis skills
- Create and maintain SOPs and process documentation across the sales function
- Support handoff workflows between SDRs, AEs, and Account Management
AI & Automation Implementation – 35%
- Audit and fix existing automations in HubSpot
- Build new automations using Zapier and N8n with integrations to HubSpot, Slack, Google Drive, Google Docs, Anthropic (Claude), and ChatGPT
- Identify manual, repetitive workflows across the sales org and propose automation solutions
- Use AI tools to improve operational efficiency: automated call note processing, pre-qualification flows, handoff workflows, contract status tracking
Contract Review & Legal Coordination — 15%
- Review client contracts in PandaDoc for completeness, accuracy, and risk
- Handle contract revision requests from clients and coordinate redlines and approvals
- Manage edge cases: NDAs, SOWs, and external contracts as needed
- Maintain organized legal documentation and records
Administrative & Cross-Functional Support – 10%
- Support leadership with operational coordination and ad hoc project
- Absorb the scrappy, manual admin work that keeps the sales org running — cleaning spreadsheets, fixing broken data, filling gaps. This is grunt work and it matters.
- Coordinate across Sales, Operations, Recruitment, and Marketing to ensure alignment and follow-through
Must-Haves (Required)
- 2–5+ years in sales operations, revenue operations, or operational support roles
- Hands-on experience building automations with Zapier, N8n, Make, or similar no-code/low-code tools — this is the non-negotiable
- Strong HubSpot experience: pipeline management, deal tracking, workflow building, reporting, and data hygiene
- Experience with data analysis, dashboard creation, and operational reporting
- Comfortable working in fast-paced startup environments where processes don’t exist yet and you’re building them from scratch
- Strong written and verbal English communication
Nice-to-Haves (Preferred)
- Experience with contract review (MSAs, NDAs, SOWs) or paralegal/legal operations background — not required, but significantly strengthens your candidacy
- Experience supporting US-based startups or clients
- Experience building integrations between HubSpot, Slack, Google Drive, and AI tools (Claude, ChatGPT)
- Familiarity with PandaDoc or similar contract management tools
- Experience creating SOPs and operational playbooks that other people actually follow
