Job Description
We are looking for a dedicated Outbound Appointment Setter to support a healthcare organization in the neurological rehabilitation space.
In this role, you will focus on calling new and aged leads from the CRM to schedule medical appointments for Physical Therapists, Occupational Therapists, and Speech-Language Pathologists. This is not a basic confirmation role. It requires a consultative approach, active listening, and the ability to guide patients through intake questions while building trust.
You will play a key role in maintaining a consistent patient flow by engaging patients in thoughtful, empathetic conversations, documenting outcomes accurately, and driving show-up rates for scheduled appointments.
The team operates in a patient-first, collaborative environment that values professionalism, accountability, and genuine care for people.
Responsibilities
- Make high-volume outbound calls to new and existing leads from the CRM
- Engage patients in empathetic, conversational discussions around their care needs
- Qualify patients and schedule appointments with appropriate therapy providers
- Complete intake forms accurately during or after calls
- Maintain detailed records using spreadsheets and trackers (appointments, follow-ups, outcomes)
- Follow up consistently with patients to improve show-up and conversion rates
- Meet daily and weekly call, booking, and conversion targets
- Collaborate with the team to improve scripts, processes, and patient experience
- Proven experience in outbound sales, appointment setting, or call center roles
- Strong consultative sales skills with the ability to guide conversations, not just follow scripts
- Excellent spoken English with a warm, professional, and empathetic tone
- Comfortable handling sensitive conversations related to health conditions
- High attention to detail and comfort working with spreadsheets and trackers
- Ability to stay persistent and engaged on 15–20 minute calls
- Results-driven mindset with an understanding that conversion and show-up rates matter
- Willingness to learn basic medical context (neurological conditions, therapy services)
- Reliable internet connection and a quiet, professional home workspace
