Position Overview
The Order Management & Operations Administrator is responsible for supporting client interactions, order coordination, inventory administration, and day-to-day business operations. This role plays a key part in ensuring exceptional customer service, accurate record management, and efficient operational support across the business.
Key Responsibilities
Client Service & Communication
- Manage client enquiries, appointment scheduling, feedback, and ongoing communication in a professional and timely manner.
- Maintain accurate and confidential client records, including measurements, preferences, order details, and specific requests.
- Follow up on outstanding client requests, order updates, and required information.
Order & Inventory Administration
- Coordinate order processing activities, ensuring information is complete, accurate, and actioned efficiently.
- Support inventory administration by tracking fabric supplies, materials, and related records.
- Maintain organised order documentation and administrative records.
Administrative & Operational Support
- Provide general administrative support across daily business operations.
- Assist with data entry, documentation, filing, and record maintenance.
- Support process improvements relating to client records, order administration, inventory tracking, and internal documentation.
- Perform other duties as required.
Team Collaboration
- Liaise with internal stakeholders to support service delivery, order coordination, and operational efficiency.
- Facilitate clear communication between customer-facing and operational teams to ensure smooth workflow and follow-through.

- Bachelor's Degree in Business Administration, Certificate III in Business Administration, or a related discipline preferred.
- Minimum 2-4+ years' experience in administration, client services, customer support, order coordination, or a similar role.
- Experience within fashion, retail, luxury goods, custom products, or other customer-focused environments is advantageous.
- Strong organisational skills with the ability to manage multiple priorities and deadlines.
- Excellent attention to detail and accuracy across record keeping, data entry, and order administration.
- Strong written and verbal English communication skills.
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
- Familiarity with CRM, booking, order management, or client record systems is advantageous.
- Ability to handle confidential client information with discretion and professionalism.
- Strong customer service mindset with the ability to communicate courteously and effectively.
- Ability to collaborate with internal teams to support efficient service delivery.
- Reliable, organised, and comfortable working in a fast-paced environment.
