Job Description

Core-VA Solutions is hiring experienced HR professionals to support growing service providers across the United States.

We currently have three open HR Specialist roles, each supporting a different US-based client. Review the openings below and apply for the one that best fits your background and experience.

All roles are fully remote, full-time, and require availability during US business hours (CST).

KEY RESPONSIBILITIES — ALL ROLES

HR & Recruitment Support

  • Assist in recruiting caregivers, general employees, or role-specific candidates
  • Screen resumes and coordinate interview schedules
  • Communicate with applicants and staff regarding hiring and onboarding
  • Prepare, track, and maintain onboarding requirements and employment documents
  • Coordinate background checks and follow up on pending requirements
  • Maintain accurate employee records and personnel files

Payroll & Administrative Support

  • Collect and verify timesheets and attendance records
  • Assist with payroll preparation and data entry
  • Maintain payroll and compensation records

Operations, Compliance & Documentation

  • Assist in creating and updating SOPs, checklists, and workflows
  • Maintain organized digital filing and document control systems
  • Support preparation and organization of documents for internal or external audits
  • Track compliance-related documents and ensure records are complete and up to date
  • Update trackers and internal records as needed
  • Support daily HR and operations-related tasks

Role 1 — HR Recruiter & Payroll Specialist

Ideal for someone equally comfortable sourcing talent and processing payroll — and who brings structure through documentation and automation.

Additional responsibilities:

  • Manage end-to-end recruiting: postings, screening, interviews, offers, and onboarding
  • Process US payroll on a bi-weekly or semi-monthly schedule; audit for accuracy
  • Build and maintain SOPs for recruiting and payroll workflows
  • Identify manual tasks and implement automations using Asana to reduce processing time
  • Coordinate with managers on headcount needs and position approvals

Additional requirements:

  • Experience with an applicant tracking system (Workable, Greenhouse, or similar)
  • Prior payroll processing experience using Gusto, ADP, or Rippling
  • Familiarity with employee lifecycle documentation and onboarding workflows

Role 2 — HR Compliance & Finance Specialist

This role sits at the intersection of HR and finance. You will ensure people operations stay compliant with US regulations, maintain clean financial records, and build the documented processes that drive consistency.

Additional responsibilities:

  • Monitor and implement HR compliance requirements (federal and state labor laws)
  • Conduct periodic HR audits and prepare compliance documentation
  • Develop and update SOPs for HR, payroll, and finance procedures
  • Process payroll and reconcile entries against finance records each cycle
  • Maintain organized financial documentation: invoices, ledgers, and expense records
  • Flag compliance risks to leadership and recommend corrective actions

Additional requirements:

  • Solid understanding of US employment law, wage regulations, and HR compliance frameworks
  • Finance experience using QuickBooks or similar accounting software
  • Detail-oriented with strong documentation and record-keeping habits

Role 3 — HR Operations & Automation Specialist

We are looking for a systems-minded HR professional who builds efficient workflows. You will audit existing processes, automate manual steps, keep payroll running smoothly, and document everything for scale.

Additional responsibilities:

  • Map and audit current HR workflows to identify inefficiencies and automation opportunities
  • Build and deploy automations using Asana or native HRIS integrations
  • Process US payroll accurately and on schedule each period
  • Write SOPs for every streamlined process — clear enough for any team member to follow
  • Ensure all automated workflows remain compliant with US labor regulations
  • Report on improvements: time saved, error reduction, and adoption rates

Additional requirements:

  • Hands-on experience with automation workflows using Asana or similar platforms
  • Background in HRIS configuration or HR systems administration
  • Strong analytical mindset with a proven track record of process improvement

Education:

  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred (not required)

Experience & Skills:

  • At least 2–4 years of experience in an HR virtual assistant or remote HR role
  • Hands-on US payroll processing experience (Gusto, ADP, Rippling, or similar)
  • Solid understanding of US labor laws, compliance requirements, and HR best practices
  • Experience building or maintaining SOPs and process documentation
  • Comfortable working with HRIS platforms and HR tech tools independently
  • Strong attention to detail — especially when handling payroll, records, and compliance documents
  • Professional handling of confidential employee and financial information

Tools:

  • Proficient in Google Workspace and/or Microsoft 365
  • Experience with Asana for task management and workflow automation
  • Familiarity with QuickBooks or similar finance/accounting software is a plus
  • Comfortable with video communication tools (Zoom, Google Meet, or similar)
