Job Description

The Administration & Sales Support Officer will provide day-to-day administrative, sales, and stakeholder coordination support to a small sales team and broader business. This varied role will manage written enquiries, coordinate sales administration, prepare quotes and business documentation, maintain accurate records, support internal communication, and help improve processes across a hands-on small business environment.

 

  • Provide day-to-day administrative support to the sales team and wider business.
  • Manage written enquiries and correspondence from customers, suppliers, and internal stakeholders, ensuring communication is timely, professional, and accurate.
  • Coordinate customer requests and sales administration activities throughout the customer lifecycle.
  • Prepare quotations, proposals, sales documentation, and other business correspondence.
  • Monitor and manage shared inboxes, ensuring enquiries are actioned promptly and followed up where required.
  • Maintain accurate customer, supplier, sales, and business records across relevant systems.
  • Complete high-volume and accurate data entry while keeping business documentation organised and up to date.
  • Prepare reports, spreadsheets, and other business documents as required.
  • Document and maintain business processes to support clear, consistent, and transparent ways of working.
  • Identify opportunities to improve administrative processes, systems, workflows, and overall efficiency.
  • Provide general administrative support across the business, including coordination of travel arrangements, meetings, and other operational support activities where required.
  • Support internal team members with ad hoc business administration and operational tasks.
  • Other position-level duties as they arise.

  • Bachelor’s degree in Business Administration, Office Administration, or a related discipline is preferred.
  • Previous experience in administration, sales support, stakeholder coordination, customer support, office administration, or a similar business support role.
  • Experience communicating professionally with customers, suppliers, and internal stakeholders.
  • Excellent written and verbal English communication skills.
  • Exceptional attention to detail, with strong accuracy across data entry, records, documentation, and written communication.
  • Intermediate Microsoft Excel skills, with the ability to prepare and update spreadsheets, reports, and business documents.
  • Strong working knowledge of Microsoft Outlook, Microsoft Teams, SharePoint, and the Microsoft 365 suite.
  • Demonstrated ability to document processes and contribute to continuous improvement initiatives.
  • Strong organisational, planning, and time management skills, with the ability to manage multiple priorities.
  • Proactive, solutions-focused, and comfortable working independently with minimal supervision.
  • Collaborative, adaptable, and hands-on, with the initiative to identify what needs to be done and take ownership of delivering it.
